As our practice continues to grow and evolve, we want to share a few important updates and reminders with all of our patients.

Jamie’s Maternity Leave
Jamie will soon be taking maternity leave as she welcomes her new baby! During this time, Helen will be covering all patients for the practice to ensure everyone continues to receive consistent, high-quality care. We are so excited for Jamie and her family, and our entire team will be working together to make sure her patients are fully supported while she is away.

Medication Checks & Refill Policy
All medication checks will be scheduled as virtual visits unless otherwise specified by Helen. Please plan ahead for refills - requests should be submitted at least one week before you run out to allow time for provider review, pharmacy communication, and insurance processing. Requests are reviewed during business hours only and may take up to 72 business hours once received, depending on provider availability.

Meet Our Team
We have expanded our support staff to keep things running smoothly and efficiently:
• Joshua, a registered nurse, and our Virtual Assistant, helps manage phone calls, voicemails, and patient messages. If you hear from him, yes, he is part of our trusted CFW team.
• Marie-Claire, our dual-role Medical Receptionist and Medical Assistant, continues to handle scheduling, intake, and assisting with patient care.
• Erika, our Medical Receptionist, helps with front desk communication, scheduling, and day-to-day patient coordination.
• Sonia, our Phlebotomist, continues to handle lab draws and coordination.
• Haley, who previously worked with CFW from July to November 2024, has rejoined our team as of today! We are thrilled to welcome her back home to Complete Family Wellness.

Communication & Turnaround Times
We know delays can be frustrating, and we want to reassure you that no message goes ignored. Our team communicates constantly behind the scenes, but we do not reach out until there is actual information or an update to share.

Here is what you can expect for response times (please allow an extra 24-48 business hours during this transition period):
• Portal messages: 3-5 business days
• Prescription refills: up to 72 business hours once received (submit at least one week before needed)
• Prior authorizations: 10-14 business days, depending on insurance response times
• Lab results: 5-7 business days from when results are received and reviewed by your provider

We appreciate your patience and kindness as our team - Helen, Anne, Marie-Claire, Erika, Sonia, Joshua, and Haley - works together to maintain efficient, compassionate care for every patient.

📣 Heads up: our clinic is closed today (Saturday, Oct 25) while our team is out at the Cary-Grove Chamber Halloween Walk. We’ll reopen Tuesday during normal hours.

As Complete Family Wellness continues to grow, thank you for trusting us with your care. To keep things running smoothly, please remember:

✨ Appointments only. No walk-ins. Please schedule in advance.
✨ Respect for our staff. Our team is an extension of Helen and Jamie. Every message is relayed, and rudeness or threatening behavior will not be tolerated.
✨ Medication refills. Only Helen and Jamie prescribe controlled substances. Please allow 48 hours for refills or changes. (This applies to business hours, hours we are closed are not included in the wait time frame)
✨ Prior authorizations. These can take 1–2 weeks or longer. Repeated calls do not speed the process.
✨ Communication. Call once and leave a voicemail, or use the portal (24–48 hrs within business hours).
✨ After-hours.
• Our hours: Tue–Fri 9–5, Sat 9–1. Closed Sunday/Monday.
• Staff cannot consistently respond outside these hours. If you receive a message after hours, it is a courtesy, not the rule.
• Urgent needs: call and press #3 to reach the on-call provider (approx. 2-hour callback; fee applies).
• Emergencies → go to urgent care or ER.

We are a rapidly growing practice, and policies will continue to adapt with that growth. Administration will share updates quarterly so all patients stay informed.

✅ We are receiving voicemails, but since we can’t answer the landline directly, call-back times may be a little slower than usual.

At Complete Family Wellness, protecting your privacy and ensuring your health information is secure is always our top priority.

To comply with HIPAA laws and keep our providers’ licenses protected, all communication about your medical care must go through our secure patient portal.
Providers will not respond to medical questions through social media, personal texts, or any unofficial channels.

Here’s what you need to know:
• Please send all medical questions and messages through our patient portal.
• Our office email is available, but it is not monitored by your provider.
• Reaching out through personal channels is a violation of our policy and HIPAA regulations.

Repeated violations will result in dismissal from our practice, as we must uphold these standards for everyone’s safety.

For urgent after-hours needs, use our official after-hours line.
For routine questions, always use the portal or schedule an appointment.

Hey Complete Family Wellness community,

Just a quick update, I’m out of the office and will be back Tuesday, July 15th. No drama, just a little time away to recharge and not answer emails from a tent (tempting, but not happening).

The office is still very much OPEN!
Helen, Jamie, and the whole team are holding down the fort. Our front desk staff can handle anything within their wheelhouse. If something pops up that only I can fix, I’ll tackle it when I return.

We’re closed today and tomorrow so our team can enjoy some well-deserved time with their families.

Happy Tuesday, Complete Family Wellness fam!

We want to give you a heads-up: our desk phones are currently not on their best behavior. Calls are dropping mid-conversation, which is just as frustrating for us as it is for you (probably more, tbh).

Anne is this close to going full Karen on the phone company…
Just kidding. She’d never. (But she’s definitely thinking about it.)

In the meantime, please use the patient portal for any communication, appointment requests, refills, questions, etc. We will return calls when we can, but the phone chaos is real and out of our control right now.

Thanks for bearing with us while we wrestle these tech demons. 💻🔥
