Planning isn’t the issue.

Most allied health professionals plan well.
They set goals, block time, and try to stay organised.

But when systems are unclear, even good plans fall apart.

Because:
• tasks aren’t clearly owned
• information lives in too many places
• processes rely on memory
• admin grows faster than capacity

Without systems, planning turns into constant adjustment.
With systems, planning actually sticks.

If your plans keep unravelling, it’s probably not a motivation problem.
It’s a systems one.

NEW TOOL WORTH SHARING ✈️🚗

If you charge for travel, you already know how messy it can get; spreadsheets, inconsistent rates, travel added later, and clients questioning costs.

That’s why I wanted to give a shout-out to Cotter and her new app, QuoteWise.

QuoteWise is a practical, no-nonsense tool designed to help businesses calculate, document and justify travel costs before quotes or invoices are sent, bringing consistency across teams and clarity for clients.

What I really like is that this isn’t a finance tool pretending to understand operations. It’s built from real-world experience, for businesses that actually travel for work.

Kristine built this to solve her own problem first, and now she’s opened it up so others can test it too; with a free 3-day trial and no lock-in.

If travel is part of how you deliver services, this is well worth a look 👀

Clinical time is valuable.
Yet it’s often the first thing to be squeezed when admin has no clear structure.

Without systems, admin spills into:
• lunch breaks
• evenings
• weekends
• and mental space that should be off-duty

Protecting clinical time isn’t about working faster or harder.
It’s about giving admin a proper place to live.

That might look like:
• clear admin blocks in your week
• defined processes instead of relying on memory
• shared systems rather than carrying everything yourself
• knowing what needs your attention and what doesn’t

When admin has structure, clinical time stays clinical.
And your energy lasts longer.

Save this for later, or explore how admin support can help protect your sessions:

Most overwhelm in allied health doesn’t come from one big problem.

It comes from the small admin tasks that never really stop.

Things like:
• chasing paperwork
• replying to emails between sessions
• remembering reporting deadlines
• updating systems after hours
• keeping everything in your head “just in case”

On their own, they seem manageable.

Together, they quietly drain time, energy, and focus.

If your workload feels heavier than it should, you’re not doing anything wrong.

You’re just carrying more than what’s visible.

Recognising the hidden load is often the first step to easing it.

Learn how structured admin support can help lighten that load:

Colour coding isn’t just a visual trick.

It helps your brain sort information faster and reduces decision fatigue, especially when juggling clinical work, admin and personal commitments.

Try assigning colours for:
• admin tasks
• client sessions
• reporting deadlines
• professional development
• personal time

When your diary becomes easier to read, your week becomes easier to manage.

It’s a small habit that brings big clarity into 2026.

If thinking about the new year is creating more angst than motivation, you’re not the only one.

Many allied health professionals start January already feeling stretched by admin, reporting deadlines and unfinished tasks from last year.

One way to ease the pressure is to begin small.

Choose one area to organise first.

Give yourself permission to build your plan step by step instead of all at once.

Planning isn’t about doing everything perfectly.

It’s about creating clarity so you can work with confidence and less stress.

As the year comes to a close, we have been reflecting on the work AHAC has supported and the recognition that highlighted its impact.

The recent article showcasing Australian leaders at the global Stevie Awards acknowledged the contribution Jen, our Founder, has made to strengthening systems across allied health.

This year, many allied health professionals have navigated increasing administrative demands across NDIS, Medicare and compliance.

The work we do behind the scenes is designed to help ease that load so practitioners can focus their time and energy where it matters most.

Seeing AHAC recognised internationally has been a meaningful reminder of the importance of strong operational support in a sector that gives so much of itself.

Thank you to every allied health professional who trusted AHAC throughout 2025.

We look forward to supporting you with clarity, structure and confidence in the year ahead.

Our Story

Hi, my name is Jenny and I’m the proud founder of Allied Health Admin Services. Having worked in the Health Industry for over 20 years and more recently in the Allied Health sector. I could really see the need for an outsourcing option for Allied Health professionals through Virtual Administration.

Starting my career in radiology where I refined my skills with general medical administration duties, I acquired valuable experience that facilitated my professional growth to work for three different radiology practices over a period of 15 years. This time saw my expertise and professional responsibility grow and mature. Beyond this, after having taken a professional pause to raise a family, I worked for a large general practice which employed 15 doctors all at varying stages of their careers and training.

My husband and three children live in sunny Forster on the mid-north coast of NSW. I am adept at juggling the competing priorities of a busy family life while running my own successful business and thrives on the challenges and opportunities this brings.

At Allied Health Admin Services, we can help you and your business get back to doing what you love. Our services include (but not limited to):
