Personal Assistant to Facility Manager (Permanent Part-Time)

About the Role

We are seeking a proactive and organised Personal Assistant to support our Facility Manager in the smooth day-to-day running of our facilities operations. This is a varied and rewarding role for someone who enjoys working in a fast-paced environment, balancing administrative tasks with on-the-ground coordination.

Key Responsibilities

Provide administrative and scheduling support to the Facility Manager.
Manage emails, calls, correspondence, and calendar appointments.
Coordinate meetings, site visits, and contractor appointments.
Prepare reports, documents, and data entry as required.
Assist with procurement, quotes, and purchase orders.
Support compliance, maintenance logs, and safety documentation.
Liaise with internal teams, suppliers, and service providers.
Handle general office and facilities administration tasks as needed.

About You

Proven experience in an administrative, coordination, or assistant role (experience in facilities or property management is an advantage).
Strong organisational skills and attention to detail.
Excellent communication and interpersonal abilities.
Comfortable multitasking and prioritising in a dynamic work environment.
Proficient in Microsoft Office (Word, Excel, Outlook) and general office software.
Reliable, trustworthy, and able to work independently with minimal supervision.

Today, Coral walked into the facility and was delighted to hear someone playing her mum’s piano — the very one she lovingly donated. Seeing Dawn entertain everyone and fill the space with music made the moment even more special.

What a beautiful way to welcome her into our community. 💛
