Position Summary
We are seeking a proactive, well-organised individual to support the day-to-day operations of our integrated Gym and Physiotherapy facility. This role combines front-of-house duties with essential administrative and health & safety responsibilities. The ideal candidate will be confident, detail-oriented, and capable of creating a welcoming and professional environment for clients and colleagues alike.
Key Responsibilities
Reception & Customer Service
Greet clients and visitors warmly, ensuring a professional and friendly first point of contact.
Manage bookings and appointments..
Answer phone calls and respond to email enquiries in a timely, courteous, and efficient manner.
Liaise with physiotherapists, trainers, and other staff to ensure a smooth client experience.
Assist with clinical reports.
Process payments and issue invoices or receipts where appropriate.
Administration
Maintain accurate client records in line with GDPR and confidentiality policies.
Assist with staff scheduling, internal communications, and meeting coordination.
Order and manage stock levels for clinic and gym supplies.
Support onboarding processes for new clients and staff.
Ensure compliance with operational protocols and documentation (incident reports, consent forms, etc.)
Health & Safety
Oversee cleanliness, organisation, and safety of reception, gym, and treatment areas.
Conduct routine safety checks and coordinate maintenance or equipment servicing as needed.
Ensure compliance with all relevant health & safety regulations, including first aid and fire safety.
Maintain and update risk assessments and safety protocols.
Act as a first responder in case of emergencies (training will be provided if needed).
Key Skills & Attributes
Strong interpersonal and communication skills.
Highly organised, reliable, and able to multitask effectively.
Comfortable working in a fast-paced, client-facing environment.
Proficient in Microsoft Office(experience with Sage software desirable).
Knowledge of health & safety protocols within clinical or fitness settings.
Willingness to work as part of a team and individually.
Qualifications & Experience
- Prior experience in a reception or administrative role, preferably in a healthcare, fitness, or rehabilitation setting.
- Basic First Aid certification (or willingness to undertake training).
- Familiarity with gym and/or physiotherapy environments is highly desirable.
Working Hours & Conditions
- Flexible working hours including evenings or weekends will be required.
- Occasional lifting or physical tasks related to maintaining a clean and safe environment.
