We are excited to support the Safe and Found Online (SAFO) initiative, a digital version of the Herbert Protocol, designed to help protect individuals living with dementia in case they go missing.

💡 What is Safe and Found Online?

SAFO allows carers or people with dementia to create a secure online profile with vital information, including recent photos. If a person goes missing, this information can be shared instantly with the police, helping them start a search immediately.

This service is aimed at individuals with a new or existing dementia diagnosis, providing peace of mind and enabling them to live more independently.

Complete the profile with important details about the person at risk.
Upload recent photos to help in identification.

Job Description:
As a Junior Administrative Assistant at Yorkshire and Humber Healthcare Alliance, you will be an integral part of our administrative team, supporting the operations of our domiciliary care services. This entry-level position offers an excellent opportunity to gain valuable experience in the healthcare and domiciliary care sector.

Key Responsibilities:
- Assist in maintaining accurate client records, including contact information, care plans, and medical history.
- Help with scheduling home care visits and ensuring timely assignments to caregivers.
- Coordinate with caregivers to ensure they have the necessary information for each client visit.
- Answer and manage phone calls, taking messages and directing inquiries as needed.
- Assist in processing and filing important documents related to client care, such as assessments and care notes.
- Collaborate with the billing department to ensure accurate invoicing and billing records.
- Provide administrative support to the management team, including data entry, report generation, and meeting scheduling.
- Maintain inventory of office supplies and order as needed.
- Assist in maintaining compliance with regulatory standards and company policies.
- Uphold strict confidentiality and privacy standards when handling sensitive information.

Qualifications:

- 5 GCSE'S (C grade or above - including English Language and Mathematics)
- Strong organizational and time management skills
- Excellent communication skills, both written and verbal
- Proficiency in basic computer applications (Microsoft office suite)
- Compassionate and empathetic attitude
- Ability to work effectively in a team and independently
- Attention to detail and a high level of accuracy
- Previous administrative experience in a healthcare or domiciliary care setting is a plus but not required

1. Job Overview:

To provide leadership to the care staff within Yorkshire and Humber Healthcare Alliance
To provide care in accordance with current best practices, according to policy and procedures, agreed standards, legislative requirements, relevant regulations under the direction of the Manager
To supervise the care services within Yorkshire and Humber Healthcare Alliance in accordance with agreed standards
To maintain skills at a current level, and undertake such training and development as may from time-to-time be required to maintain practices as up to date
2. Location:
Yorkshire And Humber Healthcare Alliance, but you may be required to work from other locations at the discretion of the company and with appropriate notice.

3. Role Specific Duties:

Ensure Service Users are at the heart of the care delivery and their wishes and preferences enhance their well-being
To ensure that all staff contribute to the efficient running of the service and supervise staff
Be responsible for promoting and safeguarding the welfare of those individuals they support
Develop effective working relationships with other employees within Yorkshire And Humber Healthcare Alliance
Work in cooperation with members of the multi-disciplinary teams to maximise opportunities for Service Users
Leading by Example: - Seek opportunities for personal and professional growth
Personal Responsibilities: - Attend statutory training and any other training as directed by the management
4. Specific Requirement for Qualifications

Good English - Written and verbal
RQF Diploma level 3 Health and Social Care or equivalent
Driving Licence
Supervisory or management experience

5. Specific Requirement for Skills

5.1 Proficient Written Skills

Maintain all Care Plans/care records in accordance with Yorkshire and Humber Healthcare Alliance policy and audit care records following company policy to ensure compliance

5.2 Leadership Skills

Ability to induct and orientate new employees to the job role and service
Organise and plan supervision and appraisals for care staff
Provide and oversee staff providing people with support/assistance as they accomplish daily tasks, including bathing, eating, dressing, grooming, and using the bathroom
Dispense medication following Yorkshire and Humber Healthcare Alliance policies and procedures
Communicate any problems, concerns or changes to Service Users’ family members as needed
5.3 Communication Skills

Senior Carers need to build rapport with Service Users by establishing personal connections and showing interest in their lives
The post-holder should recognise the importance of effective communication within the multi-disciplinary team, with Service Users and their families/friends, whilst recognising people’s needs for alternative methods of communication and respond accordingly
To greet visitors and show prospective Service Users and families the facilities as required
5.4 Problem-Solving Skills

Senior Carers need to be able to adapt and address situations quickly. Plan, develop, implement, and assess approaches to promote health and well-being, whilst recognising and reporting situations where there might be a need for protection.

6. Specific Requirement for Previous Experience

Previous experience of working in similar environment
Previous experience of working in similar supervisory role
Experience of working with Service Users that may have additional support needs
Knowledge of rota planning ensuring adequate staff on duty with correct skill mix and fair allocation of off duty/annual leave
