Good news for our patients - We are holding our FINAL Covid-19 vaccine walk-in clinics of the season in the New Year!

If you are eligible and wanted to wait until after Christmas to have your Covid jab this winter season, you can pop down to the practice any time between 9am and 1pm on Saturday 10th January or any time between 1:30pm and 4pm on Saturday 17th January - no appointment required, just turn up!

Actions from previous meeting ongoing: Dwayne continues to try and locate online sign up forms from previous PPG promotional events in Limelight. Web designer trying to locate issue

Item 1
Discussed PPG meeting calendar for the year ahead including finding out if there are any further dates that PPG can attend flu clinic, to promote PPG and sign up new members

Discuss PPG member attendance at next Student enrolment event with Marcia to promote PPG and possibly sign up new members Next student event 19th January 2023 but small event which Marcia attending alone. Next Student enrolment event is in April 2023, but date to be arrange.

Discussed how PPG will acknowledge the significant cultural and religious dates in the community such as Ramadan, Diwali, Easter, Black history month, Jewish celebrations

Action: Design banner with consistent design and wording that easily changed to acknowledge significant events and celebrations

High number of Nurse DNA's at Limelight discussed
Noticed Nurse had over 200 DNA appointments in Nov 2022. Did patients receive appointment reminder?
How PPG can help to decrease DNA's.

Marcia explained how DNA's for nurses data calculated and what happens after patient books appointment.
Discovered patients booking appointment at Limelight receive a text message 24 hours after booking appointment to confirm booking.
Patients do not received Text reminder 24-48 hours before appointment.

Limelight ring patients who DNA to ask reason for non-attendance

Top Reasons patients give for not attending appointments
1. I did not get a reminder
2. I forgot
3 I tried to telephone but holding on too long

Action: Marcia to check if can change messaging from "Confirmation Message" 24 hours after booking to a "Text Message Reminder " 24 hours before appt

Action: Reception staff to inform patients at time of booking appointment that they will receive confirmation of appointment in 24 hours and they will not receive Text reminder

Action: Marcia to find out if can add text and cancelation link to message

e.g. "Use this link to cancel your appointment up to one hour before appointment time"

Analyse Results of the Marketing/advertising events carried out by PPG members the previous two Wednesdays:

Discussed: PPG interaction with patients attending Limelight Flu clinics on Wednesdays 23rd and 30th November between 10-1 -
Aim of PPG members to communicate with patients and promote PPG in order to increase voluntary, membership and attendance at PPG meetings
Members attending the event were able to register several patients, but unsure where the registration information store.

Action: contact Dwayne to find patients who registered for PPG at events

Actions Carried over from last Meeting:
Discussed results of SMS text message
about PPG, targeting patients of up to 45 years. Over 400 messages sent out
Very poor response to message
Message did not get across as well as expected

Discussed reasons why poor response to SMS text message:
Unknown numbers blocked by recipient mobile phone
Patient may have changed mobile number and not informed surgery
Marcia updated meeting about media Boards in surgery
PPG message currently appears 4 times per hour

Decide Direction of the PPG for New Year 2023

Discussed increasing number of evening meeting so opportunity for patients to attend balanced. This may attract people working during the day and or encourage under 45s attend

Proposals:
Monthly PPG publicity event in limelight surgery

For PPG board to be updated monthly
Theme of PPG board to celebrate the cultural diversity of Limelight patients, e.g. Christmas, EID, Diwali, Chinese New year

Celebrate and communicate PPG achievements in Limelight

Patient education
i.e. How to use "Ask My GP" service

Common complaint by service users that they do not recognise GPs, reception staff, other Limelight employees
Suggestion Visual Board with photograph and brief description of role in limelight Centre required

Activities:
PPG run more open day events or have stall at events held in Limelight

Marcia attends local University enrolment sessions to provide information about surgery, sign up and register students with the practice.

Action: Denitsa and Marcia to try and arrange meetings so afternoon and evening meetings alternated.

Set up the Calendar for the year ahead:
Discuss important dates for various social, community and religious events during the calendar year (Chinese New Year, Diwali, Ramadan etc., Black month, Easter etc. International womenโ€™s day 8th March) On the 8th March is our meeting too, so we could do an event perhaps with Limelight?!
Find out when is the next flu clinic so we can carry out one PPG member sign up event.
Find out when is the next Student event that Marcia does so we could arrange PPG presence there too.
Find out what is the Limelight calendar of events for the year>
Get information from Dwayne via Marcia in regards to the online sign up form and where that information went.
Discuss no shows for the nurse: What could be done to be avoided? Did they all receive a text message reminders?
