Noticed Nurse had over 200 DNA appointments in Nov 2022. Did patients receive appointment reminder?
How PPG can help to decrease DNA's.

Marcia explained how DNA's for nurses data calculated and what happens after patient books appointment.
Discovered patients booking appointment at Limelight receive a text message 24 hours after booking appointment to confirm booking.

Analyse Results of the Marketing/advertising events carried out by PPG members the previous two Wednesdays:

Discussed: PPG interaction with patients attending Limelight Flu clinics on Wednesdays 23rd and 30th November between 10-1 -
Aim of PPG members to communicate with patients and promote PPG in order to increase voluntary, membership and attendance at PPG meetings
Members attending the event were able to register several patients, but unsure where the registration information store.

Action: contact Dwayne to find patients who registered for PPG at events

Dear PPG members,

Happy New Year 2023!
Today 6th January is the Orthodox New Year!

On behalf of the committee I would like to say Thank you to all of you for making this group work!

I am pleased that last year we relaunched the PPG and managed to elect the new committee. Picture below: Denitsa, Malcolm and Sharon.
And I am proud to say that the committee has jelled well together and everybody has been contributing to the day to day running of the group. Denitsa with her organisational skills, Malcolm with his tech skills, Sharron with her positive energy and great minutes taking. And the Xmas board was her idea and ex*****on, Thank you. Picture below.

I am pleased to say we have now have a good core of people that attend regularly and we shall expand slowly and steadily. During our session everyone is active, attentive and respectful.

I am confident that the year ahead will be exciting, filled with productive activities that lead to progress and development of the PPG. Hopefully e can continue with more marketing events to follow every month at the surgery.

I am hopeful we can continue to provide the surgery with the necessary support in their quest for continuous improvement! I am grateful for having Marcia as our link with the surgery Management Team as she is a great support for the PPG and the admin side of promoting the group on the FB page, updating the media boards etc. And to Thank the wider surgery team for taking onboard our suggestions and ideas and implement them for the benefit of the patient.

Our next meeting is next week Wednesday 11th January 2023 at 1pm, at the activity room as usual.

Presenting the PPG at the Community meetings that Nazir heads on Thursdays

Nazir attended as guest from LMPC informed meeting of his role in the community working for both Trafford and Manchester city council and offered ideas for how he could help advertise the PPG .
Nazir, holds weekly meetings for the Muslim community, on a Thursday in St John's church hall where he can promote PPG on behalf of the group he has also offered to pass out PPG leaflets in the local mosques to reach out to Muslim patients

Denitsa to obtain leaflets for Nazir by Friday 2December.

Denitsa discussed idea of PPG members attending Limelight residents meeting and completing presentation to Limelight residents. offering residents opportunity to raise any issues with they may have with surgery

Meeting minutes: 12th October 2022
Attendees:

Apologies that we could not carry out the meeting online again, we will endeavor to be back online next month.

Action: Malcolm and Denitsa will bring personal equipment in order for the meeting to be carried out online.

Meeting Topic: ā€œThe Running and Organisation of the PPGā€
How the PPG is run?

Denitsa opened the meeting and talked about how the PPG is ran. She explained the roles of the committee and the active attitude of the members during the meetings and events

What happens after meetings?
Denitsa explained the processes that are carried out after each meeting: typing up the minutes, editing and approving by Marcia then uploading on social media, printing the minutes for the board. The acting secretary or the committee type up the minutes and forward the information to members with the agenda for the next meeting.
The committee members communicate with each other in between the monthly meetings to follow up on actions, discuss agenda’s and prepare for the following meeting or events.

Action: Denitsa to type up the minutes and send to Marcia for approval.

What happens to the PPG board at reception area?
We agreed for the minutes to be printed and displayed on the board within one week after the meeting, so it is accessible for all in reception.

Action: Denitsa to type up the minutes and when agreed by Marcia, she can print them and display on the Visual media board giving access to all patients.

The board to display an announcement about the following meeting date and time so all patients/visitors can see while at reception.

Action: Malcolm to produce the display and attach on the board. Already produced by Marcia, Malcolm to keep visual board up dated with current information .
The board to display brief overview of the PPG. The laminated poster is there already.
The PPG exposure on various Media channels: Website, FB, Media Screens or PPG board in the reception area.
Denitsa explained the PPG is present on all these channels but the information may not be accessible to all.
Marcia clarified that on the Website of the surgery there is a tab about the PPG group and a link to register with the group. On the website there is also a link to the FB page where the minutes can be found.
Face Book page is updated with the minutes every month. We agreed on time scales to be within one week after the last meeting which gives plenty of time for members to read and familiarise themselves with the information.
The FB page is managed by Marcia.

Action: Marcia to upload minutes as soon as she receives them from Denitsa.

The PPG board is managed by the group/committee.

Action: Malcolm to produce some heading for the displays: ā€œWHO are WE, WHAT we DO?ā€ and ā€œMinutes from past meetingsā€ These to be laminated and put on the board.

The media screens can display a message about the next PPG meeting in simple text format. That will rotate a few times each day.

Action: Marcia already did it after the meeting.

We discussed passive advertising of the PPG: leaflets can be displayed at the Limelight reception downstairs and speak with The Pharmacy if we can leave leaflets there too.

Action: Denitsa to speak with Marcia to print out 20 leaflets to distribute if agreed by third parties that promotional leaflet can be displayed

Action: Everyone to try and bring a buddy to the next meeting!
Nazir’s group - LMCP every Wednesday at Limelight is a great opportunity to promote the PPG to the Asian community and to get people to join our meetings too.

Action: Committee to speak with Nazir (LMCP)and find out if that will be worth it as he knows his congregation.

To carry out a Face-to-Face proactive marketing for the PPG. An event to be carried out during a flu vaccination clinic where there will be sufficient foot flow at the surgery reception. Volunteers from the PPG can promote the group and get people motivated to join.

Action: Topic for the next meeting in November- how to plan and organise the event. Jon has volunteered to take part in this activity alongside other members.

How to activate more ā€œsleepingā€ members.
It was agreed to focus on getting new members, using ppg time on sleeping members, is not the most efficient or proactive way to enhance the group.
It was discussed to target patients of up to 40 years of age via a text message. The SMS to include information about the PPG and the need for people to get involved, this could be in the form of contribution of skills etc.

Action: The committee to come up with the wording of the SMS and send to Marcia to execute before 1Nov. 2022

Marcia confirmed that Jon is able to volunteer to help with the marketing and promoting of the PPG and NOT the Surgery services, this will possibly take place in the patient reception area. Marcia explained that the surgery sends surveys to patient to gage the access to services, also Marcia mentioned that we also are included in the National patient survey and the results are accessible to the general public on the NHS England platform.

Meeting Theme: ā€œOur Reception Teamā€
The topic was: Reception organisation, staffing and what needs to be improved to meet patients’ expectations.
Nominations
Denitsa opened the meeting and talked about the need for electing a chair, vice chair and secretary. She nominated herself for a chair and requested for members to put their own nomination forward. One member has put their name forward for a vice chair. Denitsa will present the rest of the entries before the next meeting on 12th October at 1pm.

Marcia answered questions relating to:
Ask My GP app issues. The surgery is trying to make access to the ASK MY GP services more accessible marcia the PSM for the surgery as been in communication with a third-party community group who can provide assistance with access to the AMGP in the form of a loan Laptops & dongles coupled with a course on internet access - Marcia will provide the details in our up-and-coming meeting once the scheme is in place.
The self-checking screens in the reception area, Marcia discussed the on going project with the arrival and the calling screens within the Health space, the Media screens are fully functional displaying patient information, we are currently looking to upgrade the arrival screen ( Self-checking) software so the patients / service users are able to arrive them selves without waiting in queues, marcia as also ensured she will place Notices informing the Patient/ service users when the screens are functional.
ASK MY GP service had an improvement from the beginning of September 2022 and the feedback is 70% positive, which is very encouraging.

There was a lot of helpful information about how the reception is organised, the recruitment process and training, and the motivation of the reception staff in being
ā€œThe faceā€ of the surgery. Manning the phones and upgrading the work processes.
ā€œA member of the PPG proposed the opportunity to shadow the reception staff in order to obtain more information about the issues they might be experiencing. However, that presents the issue with Data Protection. The same member offered his time to interact with patients in front of reception in order to identify issues the patients might be experiencing. All this presents an opportunity for a brief feedback form to be filled in person. This is to be looked into and arrangements to be made in due courseā€.
Limelight Health & Well Being Hub is a Teaching Practice
As our surgery is a Teaching Practice which facilitates trainees from 1yrs – final years of medical training in order for the Newly trained Doctors to complete their final hurdle we are facilitating a scheme which involves the patient consent to be Video recorded once in consultation with one of our junior doctors the scheme will being in the next months for the next year
patients will have a choice to consent if happy to be recorded or decline if they are not comfortable with the process. The surgery representatives inquired if this process would be something that the PPG members would be happy to take part in. As representatives of the patients the PPG members that were present conquered that this would be acceptable if there is sufficient information provided to the patients, ā€œthere was a suggestion for the patient to be notified with a text message should their appointment be scheduled with one of the junior doctorsā€ Marcia will propose this happens, will liaise with management team
for the purpose of the process Recording patient consultation. In addition to prewarn patients, the same information to be available on the website, to be displayed in the reception area, TV screens and a voice message on the phones. Marcia will liaise with management team and update PPG.

Denitsa proposed a discussion needs to be made about a way to stimulate the PPG congregation and getting more Active PPG members to attend the meeting and engage with the PPG, ā€œwhich I propose for the topic of the next meeting alongside presenting nominations for the Chair, Vice and Secretary and potential vote.
The meeting overran by 15min, but the overall feeling was that it was informative and productive.
Denitsa closed the meeting.
