Annual Reminders and Policy Updates

As we enter the new year, we will soon distribute updated patient forms for your review and completion. These include new HIPAA acknowledgment forms, revised office policies, and verification of current personal information (including address, phone, emergency contacts, and email) as well as insurance details. Your timely response ensures accurate records and seamless continuity of care.

Please note that most insurance plans reset deductibles on January 1, which may result in higher out-of-pocket responsibility for initial 2026 visits until the deductible is met. We encourage you to confirm your current benefits directly with your insurer.

To preserve appointment availability for all patients and appropriately support our providers, we maintain a no-show and late cancellation policy. Fees of up to $100 may be applied for missed appointments or cancellations with less than 24 business hours’ notice for therapy sessions and medication management visits, at the discretion of the provider or practice owner. This approach allows for consideration of individual circumstances while ensuring fair access to care.

For accounts with outstanding balances exceeding $100, payment in full or an approved payment plan will be required prior to scheduling follow-up appointments or being seen. Arrangements can be made conveniently through our billing partner.

We have observed an increasing trend of overlooked co-pay responsibilities. As required by our contracts with insurance carriers, co-pays must be collected at the time of service. To ensure compliance, our billing team or virtual assistants may contact patients in advance to secure payment. In certain cases, continued non-payment of copays could lead to cancelled appointments. To enhance documentation accuracy and efficiency, we will incorporate AI-assisted scribing technology for clinical notes that is HIPAA complaint. This tool supports our providers in maintaining thorough, high-quality records while allowing more focused time during patient interactions.

To ensure safe and effective continuity of care—particularly for medication management—we will administratively discharge patients who do not adhere to recommended follow-up schedules, do not respond after multiple attempts. If outreach attempts to schedule appointments go unanswered or if records indicate uncoordinated care from another provider, discharge may be required. In response to staffing challenges common throughout Alaska, we have partnered with vetted virtual administrative support professionals based in the Philippines to enhance efficiency and accessibility. These team members possess excellent American accents and undergo thorough background checks and training to maintain our service standards, ensuring clear communication with no anticipated difficulties in understanding. Some check-in processes may occur virtually, even when providers are on-site.
