⭐About the Role
We’re hiring a detail-driven, organized, and proactive Executive Assistant & Front Desk Administrator to help us maintain seamless operations and support the ongoing growth of our practice. This role is ideal for someone who thrives in structured environments, loves making things run smoothly, and is passionate about contributing to meaningful healthcare work.
⭐Key Responsibilities
⭐Executive Support: Manage and prioritize the clinic owner's daily and weekly schedule.
⭐Track business metrics and projects using spreadsheets and digital tools.
⭐Assist with planning, operations, and implementation of efficient systems.
⭐Coordinate meetings, timelines, and follow-ups with attention to detail.
⭐Front Desk & Admin Operations
⭐Oversee daily clinic flow and create a welcoming, professional environment.
⭐Schedule and follow up with patients using Jane App.
⭐Maintain inventory and ensure treatment rooms are well-stocked and organized.
⭐Respond promptly to emails, voicemails, texts, and appointment requests.
⭐Upload and organize patient resources and treatment updates.
⭐Handle patient questions and concerns with warmth and professionalism.
⭐Marketing & Outreach: Help implement marketing strategies both digitally and locally.
⭐Design and schedule engaging content using Canva and social tools.
⭐Manage brand communication via social media and email.
⭐Assist with workshops, events, and referral collaborations.
⭐Create flyers, lead magnets, and promotional content that reflect our brand voice.
⭐Tools You'll Use
Jane App (EMR & Scheduling)
Go High Level (CRM & marketing automation)
Canva (design & content creation)
Google Drive, spreadsheets, Notion project management
⭐Who We’re Looking For
⭐Highly organized and proactive with strong time management skills
⭐Clear, confident communicator with a friendly, professional demeanor
⭐Detail-oriented and dependable, with a strong sense of follow-through
⭐Patient-focused with an interest in women’s health and wellness
⭐Comfortable balancing multiple tasks and staying ahead of clinic needs
⭐Energetic team player who loves bringing structure and calm to operations
⭐Preferred Experience
Prior experience in marketing support, administration, or clinic coordination
Familiarity with Jane App, Go High Level, or Canva
Experience with social media marketing and client communications
Bonus points for healthcare, fitness, or wellness industry background
⭐Schedule & Compensation
Pay: From $20/hour (based on experience)
Part-Time: 15-20 hours/week
Schedule: Monday–Friday afternoons/evenings, occasional weekends
Work Location: On-site in Bangor, Maine
