Job Title: Office Assistant
Reports To: Office Manager
FLSA Status: Hourly Non-exempt
SUMMARY
Assists in providing the highest level of customer service to patients and callers.
Performs various clerical tasks as needed/
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties and responsibilities may be assigned as necessary.
• Contacts answering service to turn over phones in the morning and evening.
• Ensures lobby is neat and orderly.
• Answers phone and ensures the “On Hold” tape is working.
• Schedules patients according to office policies and procedures, ensuring same day scheduling and evening and weekend appointment opportunities as appropriate.
• Telephones patients the day before their appointments to confirm their appointment time, verify insurance coverage, and money due at POS, pre-certs as required.
• Checks orders received from referring physician’s office to ensure it has a doctor’s signature procedure requested agrees with the verbal order, and a diagnosis has been provided. Contacts the physician’s office to verify any discrepancies.
• Reschedules all patient “no shows” for the earliest appointment time available and convenient to the patient.
• Checks patients in, makes copy of driver’s license and insurance card.
• Verifies insurance coverage for patients and inputs patient/insurance information into Intergy and other systems as necessary.
• Supplies drinks and snacks for patients and help maintain such.
• Inquires if a restroom is needed to ensure a comfortable, uninterrupted scan.
• Sits with patients during scan if needed.
• Check patients out and collects co-pays, co-insurance and deductible at the time of service.
• Ensures that transcriptionists received patient log.
• File reports and films (creating folders if necessary).
• Makes up patient charts for the following day’s schedule.
• Mails/faxes reports and/or films to physicians, other providers and authorized recipients.
• Makes copies of reports and billing information.
• Assists in maintaining the weekly Patient Log, Scan Log, and Non-Compliance Log.
• Updates and maintains Referring Physician information on Citrix.
• Assists with marketing mailings as time allows.
• Assists in monitoring office supplies.
• Assists Front Desk Supervisor where applicable.
Patient information accessibility:
This position has access to all patient information.
Responsibilities as related to the protection/privacy/security of patient information are as follows:
Patient information is to be held strictly confidential. Any employee who uses or discloses patient information for any purpose not related to the performance of the employee’s job responsibilities will be subject to discipline up to, and including, termination.
Any patient information obtained while an employee of OPEN MRI shall remain confidential except to the extent allowed in the policies and procedures of OPEN MRI and as part of this job description.
Employees will discuss any questions or concerns they have with their supervisor or the practice’s Privacy Officer/Contact. Any employee, who is not sure whether certain patient information should be released, will not release the information until discussing the circumstances with their supervisor and/or the Privacy Officer.
In the event it is discovered patient information may have been used or disclosed inappropriately, every employee is expected to notify his or her supervisor or the Privacy Officer. Supervisors will report such events to the Privacy Officer so that immediate and proper steps may be taken to mitigate/minimize any adverse effects to the patient.
Employees will not face retribution solely for reporting suspected misuse or inappropriate disclosure of patient information to their supervisor or the Privacy Officer. Should an employee have concerns about reporting possible misuse or inappropriate disclosure to their supervisor or the Privacy Officer, they may make the report to the managing physician partner.
