This is a long one, but please take the time to read it through. These policies are in place and being upheld as of now.
Starting in January, all clients will be asked to fill out updated paperwork and be provided with a paper version of these policies to review and sign acknowledging that you were given this information and are aware of policy rules and expectations.
I Love Bodywork understands that things happen, and life can be a whirl wind that can interfere with well laid plans and schedules.
These policies are put into place not only to protect our therapists, but also our clients.
Therapists that have to spend too much time trying to juggle clients and schedules from frequent rescheduling and late cancellations are not focused ones.
Therapists that are overly stressed out about the negative consequences of frequent late cancellations and rescheduling are not in their best place to provide the empathetic, intuitive, focused and effective work that is expected from I Love Bodywork LMTS.
By booking an appointment with this business, you are making a commitment to that day, time and therapist, as that therapist is doing for you.
We also understand that having stricter boundaries may not be for everyone and may not work for some schedules. We encourage you to find the company and Bodyworker that fits your needs and lifestyle best. At the end of the day these policies are about having boundaries and respect for both the Therapist and the Client.
We welcome open discussions for better understanding about these policies, but will stand firm going forth in upholding not only these policies, but our commitment to you; the client, to be in the best physical and mental health we can be in and to provide you with the best bodywork sessions we can provide.
Thank you for your understanding,
-Megan

Details
Late Cancellation fees are based on the booked appointment total without add-ons.
Gift cards on file will be used first to cover late cancellation fee, client will be notified if a balance needs to be settled.
Client is not required to have a debit card on file, but they may add one to their account if they want.
If client refuses to pay late cancellation fee, all appointments on the schedule will be cancelled and the client will not be allowed to book future appointments with I Love Bodywork.
Emergencies will be taken on a case by case basis by Megan.
Therapists will try to re-book sessions that give adequate notice of late cancellation. If the appointment is re-booked, late cancellation fee will be waived. Notifying between 8pm-8am, for an early morning appointment is not adequate time for re-booking.
If client knows they will not be making their appointment they MUST contact the therapist first, before giving their appointment to another. Firstly, It is not fair to the clients on our waitlists. Secondly, we plan what clients we can see on what day depending on our case load and which clients are booked when. It is not fair to the therapist to assume they can see whomever, whenever.
Examples of Non-Emergency Reasons for Late Cancel
-Forgetting about your appointment
-Forgetting about something else on your schedule that interferes with your massage appointment
-Forgetting to add the appointment to your calendar
-Not getting a reminder text from our system:
(These are provided as a convenience. It is our policy that the client is 100% responsible for remembering their appointment info and saving this info in whatever way is appropriate for the client.)
-You car broke down or a flat tire.
-You are hungover, got in late or are tired.
-Traffic is bad or you are caught in traffic and would rather turn around.
-"Can't make it."
-"Have too much going on."
Regarding Illness
Chronic Illness: Late cancellation policy will be discussed in person, during clients next or initial visit.
General Illness: It is expected that you respect the health and time of your therapist. Please contact as soon as you start to experience symptom's for the possibility of rescheduling.
Any client that shows up to an appointment that is obviously sick, symptomatic, unwell and at the therapists discretion, not safe for the client or the massage therapist, to receive massage/bodywork will have their appointment cancelled and be charged same day late cancellation fee.
Rescheduling Policy
After booking initial appointment, Client may reschedule that appointment up to, two times. If a third attempt is made the appointment will be cancelled and the client will be placed on our On Call list.
Clients that have a consistently higher then 50% rescheduling rate will be offered to be on the On Call list or referred out.
Late Arrival Policy
I Love Bodywork therapists are not required to extend session time to accommodate a clients late arrival, regardless of reason.
In this situation, it is up to the discretion of the therapist if they are willing to accommodate extending the session; however, they are absolutely under no obligation to provide the client with details of their work schedules, breaks or personal plans in order to provide "proof" of being able or unable to accommodate clients request session time extension.
