Some organizations require attendees to register before booking accommodations.
For individual attendees, this works.
For sponsored groups, it doesn't.
👉 Sponsors must book rooms first and then complete registration once invitations have been accepted and substitutions confirmed.
When this sequence doesn't reflect operational reality, the entire process breaks down.

Many international physicians cannot schedule a visa appointment without a confirmed hotel.
When housing opens close to the meeting, sponsors cannot issue invitations early enough for HCPs to secure consular appointments.
This is one of the most common and preventable barriers to international participation.
