Job description
Reliance Family Care Services Inc. is a growing provider of services to clients with intellectual disabilities and those with home health care needs in Philadelphia and surrounding counties. It is our mission to provide quality health care services to our clients.
We are seeking a person that has the skill sets to work our as our Administrative Office Assistant. The individual will work in conjunction with all administrative staff, ensuring the sufficient delivery and completion of all task assigned as needed per administrative staff in their perspective departments. The individual will have the ability to multi-task and work in a fast-paced environment and be flexible.
The right person will be given the chance of further growth with expanded opportunities.
Job Summary: This job is responsible for general office tasks. This job routinely interacts with other personnel, including but not limited to office staff, caregivers, clients and their family members.
Key Duties and Responsibilities:
• Communicate with care staff and customer base in a professional manner.
• Routinely performs general office tasks including but not limited to: filing and maintaining files, making copies, cleaning and organizing office and workspace, etc.
• Responsible for opening up the office on time
• Responsible for checking voicemail messages
• Manage monthly staff calendar for appointments, staff events and meetings
• Greet visitors and determine whether they should be given access to specific individuals
• Assist with making follow-up calls/communicating with staff (bulk mailing, phone calls, text messages)
• Assist Human Resources in screening, interviewing potential employees for hire and screening checks for all employees and contractors
• Orders for vendors (gifts) and Ordering office supplies/snacks/Cleaning supplies for Office cleaner
• Following up on office maintenance issues
• Prepare responses to correspondence containing routine inquires
• Prepare agenda and make arrangements for board and other meetings
• Adding new employees to company spread sheets (call-out log, office365 documents etc.)
• Manage social media accounts
• Communicate verbally and in writing to assure documentation and provide information
• Type and create documents as needed
• Other duties as assigned by Executive Director, COO and CEO
• Must have experience using telephones with multiple lines, multi-task on several calls and maintain professionalism and patience with in a fast-paced environment.
• Excellent problem-solving abilities.
• Use Microsoft Office Suite, (MS Word, Excel, and PowerPoint) is a highly proficient manner.
Qualifications:
High school diploma or GED required, college or community college desirable.
1-3 years of experience highly desirable (in administration or healthcare related field such as home health agency)
Excellent oral and written English language skills.
Professional appearance and attitude
Proficiency with Microsoft Office Suite, (MS Word, Excel, PowerPoint)
Positive attitude, reliability, punctuality. Punctuality is extremely important
Current, driver’s license and acceptable driving record
Proof of Education

Verifiable relevant professional references
