Job Title: Functional Medicine Office Manager
Location: Topeka, Kansas
Schedule: Full-time (36 hours/week) with occasional evenings

people optimize health and reverse chronic illness. We’re seeking an organized,
patient‑centered Office Manager to run daily operations and support the clinical team.
Role Summary
The Office Manager ensures smooth front‑ and back‑office operations, excellent patient
experience, and efficient administrative systems. You’ll manage staff, scheduling, billing
workflows, vendor relationships, and support practice growth initiatives.
Primary Responsibilities
- Oversee day‑to‑day operations: front desk, patient intake, phone and email triage, and
supply inventory
- Manage scheduling for clinicians and coordinate extended visits and telehealth
appointments
- Supervise, train, and coach administrative staff; set workflows and performance
expectations
- Oversee billing and patient balances; work with external billers as needed
- Maintain EMR (EHR) accuracy, chart workflows, and documentation standards
- Implement and optimize office policies, patient protocols, and quality‑improvement
processes
- Coordinate ordering and inventory of supplements, testing kits, and office supplies
- Manage vendor relationships, facility needs, and vendor contracts
- Support marketing and patient retention efforts (newsletters, patient communications,
referral tracking)
- Ensure HIPAA compliance and maintain patient confidentiality
- Prepare operational reports, KPIs, and budget tracking for leadership
Required Qualifications
- Experience in medical office management or practice operations
- Experienced with EHR systems
- Excellent leadership, communication, and customer‑service skills
- High attention to detail, strong organizational and problem‑solving skills
- Proficient with Microsoft Office/G Suite; comfortable learning new software
- Passion for functional medicine and patient‑centered care
Preferred Qualifications
- Experience with practice marketing, patient education programs, or care coordination
- Familiarity with specialty lab vendors and ordering workflows (MRT, DUTCH, GI
testing, advanced blood panels)
- Certified Medical Manager or relevant certification a plus
