Massage Clinic @ Therapeutic Elements respectfully asks that you provide us with a 24 hour notice of any schedule changes or cancellation requests. Please understand that when you cancel or miss your appointment without providing a 24 hour notice we are often unable to fill that appointment time. This is an inconvenience to your therapist and also means our other clients miss the chance to receive

services they need. For this reason, you will be charged 50% of the service fee for the first missed session and 100% of the service fee for each session after that. We also reserve the right to require a credit card number to be given to book future appointments so that appropriate fees may be charged if a late cancellation does occur. We understand that emergencies can arise and illnesses do occur at inopportune times. If you have a fever, a known infection, or have experienced vomiting or diarrhea within 24 hours prior to your appointment time, we request that you cancel your session. Inclement weather may also result in the need for late cancellations. We will do our best to give advanced notice if we are closing or need to cancel due to bad weather and we ask you to do the same. Please do not risk your own safety trying to make your appointment. Late cancellation due to emergency, illness, or inclement weather will generally not result in any missed session charges, but this is determined on a case-by-case basis. Zero Tolerance Policy

We are License professional with the state of Virginia and as such we have a zero tolerance for any sexual advances, request for sexual favors, making the insensitive "happy ending" joke, requests for no draping/exposing ones genitals during a session, and other verbal or physical conduct of a sexual nature will constitute as sexual harassment will not be tolerated. If any inappropriate contact occurs during a session, the session will end immediately and the client will be charged the full price of the session and banded from making any future appointments. When warranted a police report will be filed and charges pressed.

Dear Valued Clients,

We’re excited to share that we are in the process of transitioning to a new scheduling system, Ruana. This new platform will allow us to better serve you—especially those seeking insurance reimbursement—by enabling us to provide superbills more easily.

As we make this transition, here are a few important updates:

Online Booking Changes:
In order to keep from double booking, online booking through Vagaro will be disabled after the workday on Friday, March 27th. We will then continue moving all existing appointments into Ruana, and once that process is complete, online booking will be turned on in the new system. Until we complete our move, booking will need to be via phone or text. We anticipate online booking through Ruana by April 1st.

How to Book:
To book online through our new system, please visit:

You may want to bookmark this link for easy access, or you can continue to use the “Book Now” button on our website or page.

No App Required:
At this time, Ruana does not have a downloadable app, so all booking will be done through the web link above.

New Intake Forms:
We will now be using online intake forms. You will receive an email prior to your appointment to complete your form. If you do not receive one, we will have a tablet available in-office for you to complete it upon arrival.
Please note: You only need to include insurance information if you plan to seek reimbursement after being referred by a Doctor, PT, or Chiropactor.

Phone Number Format:
When entering your phone number, please include a “1” before your area code (example: 1 540-555-5555) to ensure proper system formatting.

We appreciate your patience and understanding as we work through this transition. Our goal is to improve your overall experience and provide additional support for those utilizing insurance benefits.
