Healthcare and financial services regulations require that data cannot be altered once a legal hold is triggered. Active email servers alone don't meet this standard.

A compliant preservation system needs three things:

1. Database-level holds
When you apply a hold in the archive, the data is locked at the database level. Even if someone deletes the message from their inbox, the archived copy stays intact and searchable.

2. Silent operation
Users aren’t notified when a hold is placed. This prevents tip-offs that could lead to data destruction, and lets your legal team work without interrupting everyone else.

3. Timestamped audit logs
Every action on held records is logged. Auditors from HIPAA, FINRA, or state agencies can see exactly what happened and when.
