Job Description:
1) Welcome patients and visitors to the medical office, via greeting in person and on the telephone.
• Acknowledge each patient as soon as they walk in the door.
• Voicemails need to be kept to a minimum, with all calls answered if possible.
2) Ensure that all patients are roomed in a timely manner.
• Keep an eye on the waiting room for patients that have been there for any length of time.
• Monitor charts that have been put up for rooming to ensure no patient is forgotten.
3) Schedule appointments to optimize physician/patient interaction, physician time, and most efficient utilization of examination and treatment rooms.
• Thoroughly understand medication refill, paperwork, referral, and new patient protocols/policies for appropriate scheduling.
4) Responsible for all family practice patient prep PRIOR to being seen including:
• Prepping superbills
• Verifying all patient insurance information
• Checking balances in patient account prior to appointment for accurate payment and collection
• Placing ALL prepared charts in order of apt times for the following day.
5) Responsible for effective and clear communication with back office staff regarding any shift concerns, delays, or patient requests.
6) Responsible for effective and clear communication with seated patients for expected wait times and/or delays.
7) Maintain and record all appointments. By the end of the shift, ensure that all patient appointments are either checked out, marked “no show” or “canceled”.
8) Assist ill or distraught patients as necessary. Prepare to contact taxi or family members, when necessary for transportation.
9) Maintain reception area and waiting room in a neat and orderly condition at all times.
10) Participate in the medical office emergency routine, whenever required. Summons ambulance, EMS, or other staff members as needed.
11) Accurately account for ALL the monies and receipts collected during the course of a shift. Must balance at the end of the shift.
12) Willing and able to assist in other duties not listed above when needed.
